Your client’s experience doesn’t start when they walk through your doors—it begins the moment they discover your spa.

Whether they find you through SEO, social media, or word-of-mouth, that initial interaction sets the tone for the rest of their experience. That’s why systemizing the client journey is essential.

From appointment confirmations and pre-visit paperwork to personalized treatment plans and thoughtful follow-ups, this journey should be mapped out and documented. Not only does it improve client satisfaction, but it creates brand consistency and builds long-term loyalty.

Yet, many spas handle consultations inconsistently. That’s why your consultation process should be as precise as a service protocol. From the questions you ask to how you document product recommendations and treatment plans, everything should be streamlined and systemized.

Why? Because inconsistency leads to dissatisfaction. If one esthetician gives a 45-minute consultation and another rushes through it in 15, even the best service can leave a client confused or disappointed. Creating a standard consultation protocol ensures every guest feels seen, understood, and cared for.

System #3: Retail Strategy

Let’s be honest—retail often gets overlooked. But it’s one of the most powerful profit drivers in your spa.

Retail sales shouldn’t depend solely on your top-performing team member. Instead, create a retail system that guides your entire team through when and how to make product recommendations.

Tools like a product flow chart help ensure consistency. Add in a clear follow-up system, a method to track reorders, and a commission structure that aligns with your retail-to-service ratio, and suddenly, retail becomes a well-oiled revenue machine.

And remember—your retail system is part of the overall client journey. A client who’s properly educated on products feels supported between services, which increases retention and satisfaction.
